Job Overview

The Executive Assistant will provide administrative support to the Executive Director, all Chamber Staff, and Board Members. This person will take initiative to improve and automate processes, create best practices, and provide top-tier customer service. The Executive Assistant will be involved in all aspects of Chamber operations from receptionist duties to marketing support, to event logistics. This person is detail and process oriented, consistently meets deadlines, and is a positive team contributor.

Job Responsibilities

The responsibilities for this position include but are not limited to:

• Provide comprehensive administrative support to the Executive Director, Chamber staff, and Board members as directed.
• Draft, edit, and manage internal and external communications, including confidential correspondence and member outreach.
• Coordinate and schedule meetings, including calendars, reminders, agendas, materials, catering, and note-taking.
• Serve as a liaison for internal and external communications on behalf of the Executive Director, including with Board members, donors, and community partners.
• Provide public-facing customer service efforts by welcoming visitors professionally, answering phone calls politely, and executing solutions whenever possible and appropriate.
• Support Chamber event logistics including registration, communications, and onsite coordination.
• Maintain accurate contact records using the Chamber’s CRM system.
• Prepare agendas and supporting materials for Board and committee meetings; may be asked to take minutes and maintain official corporate records.
• Participate in planning and support of Chamber retreats or staff development meetings as requested.
• Provide administrative support for materials representing the Executive Director and Chamber leadership.
• Develop and document processes, automations, and standard operating procedures for internal consistency.
• Assist with or manage grant writing and reporting efforts, when applicable.
• Other duties as assigned.

Qualifications & Skills

• High school diploma or equivalent required; associate or bachelor’s degree preferred.
• Minimum of 3–5 years of relevant administrative or executive support experience, preferably in a nonprofit or business association setting.
• Excellent verbal and written communication skills.
• Demonstrated ability to manage multiple tasks with competing deadlines.
• High level of discretion and professionalism in handling sensitive and confidential information.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Canva, CRM systems, and social media platforms (Facebook, LinkedIn, Instagram).
• Experience in drafting correspondence, coordinating meetings, and supporting executive-level projects.
• Ability to work independently, show initiative, and contribute positively to a team environment.
• Strong attention to detail and a process-oriented mindset.
• Ability to manage or assist in grant writing is a plus.

Working Conditions and Physical Requirements

This position works primarily in indoor office and event spaces with overhead commercial lighting and temperature-controlled environments. The position's primary work hours are Monday through Thursday, 8:00 AM to 5:00 PM, and Fridays, 8:00 AM to 4:00 PM, with the understanding that occasional evening and weekend work may be required This position requires sitting for long periods of time at a desk in front of a computer screen. In addition, this person will be asked to use computer and office equipment that requires finger and wrist dexterity as well as the ability to be on a computer screen and/or phone for long periods of time. At times, the person in this position will be asked to attend events where they will stand for long periods of time greeting individuals. This person must be able to lift up to 20lbs safely.
